Minutes Spring 2016 General Meeting

LITL Spring 2016 Meeting
February 29, 2016

President, Deborah Standifer called the meeting to order and welcomed all in attendance. She reported that the Winter League has been a success so we will definitely do it again next year. We had 42 teams register with very few glitches. The only issue was the website would not let the Spring season start until the Winter season had been closed out. Betty is working with Matt, LITL’s webmaster, to work out this problem. Everyone was reminded that stats from the Winter league will not count as it was designed to be a “just for fun” league.
Deborah then introduced the officers in attendance, Betty Austin, Past President and current Chairman of Ethics Committee; Sherry Butler, past Chairman of Ethics Committee; Tracy Smith, Hospitality; Annemarie Wilson, Vice President, Website; Pattie Moultrie, Treasurer; and Dee Carroll, Vice President, Awards.
Sherry Butler called roll for Melissa Gilbert, Secretary, who was unable to attend. Those clubs not in attendance were Birchtree/Hoover, Brook Highland Racquet Club, Greystone Country Club, Lake Cyrus, Life Time Fitness, and Mountain Brook YMCA. Sherry then called for a motion to approve the minutes from the August 24, 2015, rep meeting as posted on the website. The motion was made and passed.
Pattie Moultrie, Treasurer, gave the financial report. The balance as of 2/26/16 is $12,036.11.
Annemarie Wilson gave the scheduling report for Amy Browning. She stated we were not able to register the spring teams in alignment with Softcourt as was voted on at the Fall 2015 rep meeting because of the computer glitches with the Winter league. Hopefully that will be worked out before next year. She reported we had 65 teams for spring, which is the same amount we had registered for fall. Schedules are now final. It was announced that if a team has a match scheduled on a school holiday and needs to reschedule, the opposing captain should be notified immediately and the match rescheduled and played before the original match date.
Betty Austin reported on the Susan Briggs Tournament. We were able to award three scholarships (two for $1,500 and one for $1,000). The Susan Briggs Committee received a $1,000 donation from Women’s Softcourt League and ended the tournament with a balance of $2,948.00 after funding the scholarships, and paying for food and prizes. Towel wraps were the players’ gift. It was suggested that we play a weekend tournament so those who work could participate.
Sherry Butler gave the Ethics Committee report. The season went smoothly and the move down report and stat winners report were included in the clubs’ packets.
Betty Austin gave a report on the Officer’s Meeting held in December, 2015, at Deborah Standifer’s home. She stated that the scheduling for the winter league went very well. A question came up regarding players playing out of different facilities and also playing a level up. It was explained that you can play at a different facility each season and playing up is allowed in the winter without having to request a move-down for Spring. Lavonda Keel made a motion that only the first place Winter teams be awarded a prize. Dee Carroll seconded the motion and the motion was passed.
Deborah reminded everyone that you have to play two matches to be eligible for a prize should your team win or place in their division.
NEW BUSINESS
(1) Termination of Annual Awards Luncheon: Deborah reported that the tradition of the annual LITL awards luncheon is dying. It has not been attended well for the past several years and is a big expense for LITL. Since we had voted at the August, 2015, rep meeting to award prizes at the rep meetings following each season, Dee Carroll made a motion that we terminate the annual luncheon and have a nicer rep meeting each season. Tracy Smith seconded the motion and the motion was passed.
(2) New Rule regarding Consecutive Team Wins: Beginning with the Spring 2016 season, the following rule will be in effect: “Any team that wins first or second place three consecutive seasons will be subject to review by the ethics committee. The Committee will decide what should be done and the solution may include one of the following: (1) mix the team up with the same level team at their club; (2) move up a few players to a higher level team; (3) move the entire team up to the next highest level; or (4) sit out for a season. (An exception will be the 5.5 division as there is no higher level to be moved to.)”
Mary Shelton left flyers regarding the first Annual Ladies Doubles Tennis Tournament at the Trussville YMCA benefiting the Birmingham YMCA’s annual campaign which funds scholarships to children for summer camps and day care programs.
Door prizes were given and the meeting was adjourned at 10:30 a.m.
